Prior to the project, all of the Cathedral’s data had been consolidated into a single SharePoint site.
While this initially provided a central location for files and folders, it gradually led to a number of operational challenges. Different departments, including finance, HR and marketing, were all working within the same structure, making permissions difficult to manage and increasing the risk of users accessing information that was not relevant to their role.
The existing setup also created day to day challenges and frustrations for staff.
Searching through large folder structures to locate documents became time consuming, duplicated files created confusion around the latest version of documents, and syncing issues resulted in an increasing number of support requests.
To address these challenges, the project focused on restructuring the environment into separate departmental SharePoint sites.
This created clearer ownership of information, simplified access management and significantly improved visibility and control over sensitive data.
Importantly, the project also strengthened security and compliance.
Sensitive folders such as payroll and finance could now be restricted to the appropriate teams only, providing far greater control over business-critical information and external sharing permissions.
Working closely with the team at Carlisle Cathedral, we carefully planned each stage of the migration process to minimise disruption to users.
Data moves were completed overnight where possible, old access routes were removed to avoid confusion and OneDrive environments were restructured to align with the new SharePoint setup.
The result was a far more efficient, organised and secure environment that improved the day to day experience for users across the organisation.

Users could access documents more quickly within clearly defined departmental sites, duplication of files reduced significantly and support tickets linked to SharePoint issues dropped substantially following the migration.
